The Lake Country School District (the District) is releasing a Request for Proposal for replacing and maintaining its fleet of copiers through a five (5) year lease and maintenance service contract. The District is seeking to secure a qualified Vendor(s) to provide printer and copier replacement and maintenance services, and a contract buyout with expiration date of 2024.
Following are key dates for this RFP. The District reserves the right to make modifications.

Questions and Answers:
From what we are reading you are currently using Papercut, is that correct? Yes, Lake Country School uses the free version of Open PaperCut Mobility Print.
How many codes are you currently using with Papercut? We are not set up to use codes. We would like one or two codes activated so that nothing prints without entering a code on the machine (not the computer). This is to stop unwanted prints and paper waste.
Will you need papercut on all the devices? We use a cloud version for our computers and would need the code for every printer.
Is the fax unit only needed on the color device or one of the 4 black/white devices? Faxing is only needed on the color device.
What are the volumes per month that you print in Black/White? In looking at last year our numbers are all over, here are the estimates: (335) 21,000-33,000, (810) 19,000-35,000, (427) 26,000-40,000 (751) 15,000-26,000
What is the volume for the Color prints per month? (BW) 7,000-8,500, (C) 7,000-13,017
What is the time line for receiving new equipment? We are flexible. We are hoping to plan the installation around a non school day. Maybe the week of December 26 or on Jan 2 or Jan 16.
What is your current obligation for return and is there a buyout for the current devices? We are still gathering details but understand that we must return equipment, at our expense, and yes, there is a buyout.
What OS version is our print server? Windows Server 2019
Are we 1:1 Chromebooks? Yes
Do we use Active Directory? Yes
Are FOBS for staff only? Yes, student ID cards are not coded.
